How to run a society 🤓

This guide and the training your Committee will receive each year will enable you to run a successful Society.

Society affiliation

If you want to Start A New Society, please contact the Students’ Association Vice President, who will help guide you through the process.

Every society must submit a constitution; which shall then be updated each year at your Annual General Meeting where to society shall include:

  • The aims and objectives of the Society
  • Details and signatures of the new committee members.

Membership

Each society must have at least 8 members and an elected President, Treasurer and Secretary to be an affiliated society. Your members can be a mix of Abertay Students and Non-Abertay individuals. Committee Members must be current Abertay students. If you wish to add additional committee roles, you can do this at an Annual General Meeting (AGM).

Membership fee

The Society can choose their membership fee, with a minimum membership of ÂŁ1. All membership fees must be taken online through the Students Association website, on your society page. 
Committees can access their paid membership lists through their dashboard on the website. 

Rules and Regulations

It is advisable that all Society committee members familiarise themselves with the Students Association Constitution and Societies Schedule.

It is required under charity law that societies be clearly identified as belonging to the Students Association. This protects students from liability and full accountability. Any activity, equipment or products of the Society belong to the Students’ Association.

All society promotional/printed items must have the SA logo and charity number

Risk Assessment

All societies must undertake Risk Assessments for all events and activities whether on campus or off campus. No activity can happen until the Society has been fully risk-assessed. The Risk Assessment form must be completed by a Committee member and send to societies@abertay.ac.uk for approval. For recurring events you can do one risk assessment provided the activity remains the same. 

Room Bookings

All societies are allowed the use of rooms in the University, subject to availability and restrictions. To book University rooms, please email: room bookings.

Letters & Correspondence

Any outgoing mail can be handed over at the Students’ Association office to be posted. To receive mail and deliveries for your Society, use the following address:

Your Society Name, Abertay Students’ Association, Kydd Building, Bell Street, Dundee, DD1 1HG.

Disaffiliation

Societies are part of the Students Association and must follow the rules, regulations and policies set by the Association, Trustee board and Charity law. Societies that breach these requirements will face disciplinary investigation and action, which may lead to the disbandment of the Society.
